Privacy Policy
RecruitIQ builds privacy-first recruiting tools for educational programs. This Privacy Policy explains what we collect, why, and how we protect it. If you use RecruitIQ through a school, district, or club (an “Institution”), we act as a processor/service provider and process data under the Institution’s instructions and agreements (e.g., DPA, FERPA addendum).
Information we collect
- Account & profile (name, email, role, team/program, graduation year).
- Activity & content you add or generate (timeline tasks, coach outreach, comparisons, notes).
- Technical (device/browser, IP, usage events) to secure and improve the service.
- Support/feedback (messages, forms, survey responses).
How we use information
- Provide and secure the platform (authentication, access controls, monitoring).
- Enable features (timeline logic, messaging templates, comparisons).
- Support users and Institutions; measure performance and outcomes.
- Comply with law and enforce policies.
Legal bases (EEA/UK/CH)
We rely on performance of a contract (with Institutions or you), legitimate interests (security, service improvement), and consent where required (e.g., certain communications).
Sharing
- Vendors/Processors under DPAs and security reviews.
- Institution-Directed (rosters, integrations) under admin control.
- Legal/Safety when required by law or to prevent harm.
- We do not sell personal information.
Education privacy & FERPA
RecruitIQ supports FERPA-aligned practices. Institutions remain the owners of student records; RecruitIQ is a school official/processor with legitimate educational interest, using data only to provide the service. Consumer marketing is disabled for student accounts.
AI & Automated Decision Support
RecruitIQ uses artificial intelligence (“AI”) to analyze user-provided and third-party data (for example: school and program information, roster depth, timelines, communication drafts) and to generate suggestions, summaries, and structured outputs. These outputs are for informational purposes only and are intended to assist coaches, counselors, students, and administrators—not to replace their professional judgment.
- Verification: AI outputs may be incomplete, inaccurate, or outdated. You must verify critical details (e.g., admissions criteria, eligibility rules, staff contacts, scholarships, deadlines) with primary sources before acting.
- No fully automated decisions: RecruitIQ does not make legal or similarly significant decisions about individuals without human review and institutional oversight.
- Data controls: Institutions and users choose what data is provided to AI features. Where required by law or contract, we support review, correction, export, deletion, and opt-out requests.
- Quality & safety: We monitor model performance and apply guardrails, but AI models can make mistakes. Please report concerns to privacy@myrecruitiq.ai.
Data retention & deletion
We retain personal data for the term of the agreement or as necessary for the purposes described. At the end of a contract or upon authorized request, we delete or return data per the Institution’s instructions and applicable law.
Security
We employ encryption in transit and at rest, role-based access control, environment isolation, and audit logging. Security reviews and documentation available upon request.
International transfers
Where applicable, transfers include appropriate safeguards (e.g., SCCs, UK IDTA). Details available upon request.
Your rights
Depending on your region, you may request access, correction, deletion, portability, or restriction. If your account is through an Institution, please contact your Institution; we assist as their processor.
